Graphic Recording in Sweden — Live Illustration for Conferences & Events

your event will be the one that everyone remembers

Live visual documentation. Conferences, workshops, meetings and webinars that excite, engage and unite participants.

On location in Sweden and Denmark.

Online events world-wide.

I take on a maximum of 8 events per month. Contact me to secure live illustration for your event.

Will your event be held in English?

You are in the right place.

I am the only live illustrator in Sweden who is also a native English-speaker!

You spent months planning this event.

You booked the speakers, found the perfect venue and sent out invitations. Everyone seemed to have a nice time.

But two weeks later… your participants can’t quite remember what was said. The sense of connection is gone. Your follow-up email with typed notes gets a handful of opens. The speakers ask if anyone found their session useful, and you don’t have much to show them.

All that effort… did your event actually make a lasting difference?

What if your audience left with something they actually wanted to look at again? Something that kept the warmth and energy of the event alive?

How does graphic recording help make your event a success?

Imagine this…

At the event, participants watch as key points are illustrated in real time. This helps them connect ideas and sparks inspired discussions. They get to review earlier sessions during the breaks by looking at visual summaries. As people return to their seats you hear them discussing what they see.

At the end of the day, participants are photographing the documentation. They are sharing it on social media. Several people ask if they can share it with colleagues and partners.

By the next morning, the final documentation is already in your inbox.

Putting together a follow-up email has never been so easy. When you click on “check open rate” you see that this email is being opened noticeably more than your usual updates. You get emails from participants thanking you for the sense of connection that the event fostered.

Social media for the next few weeks is stress-free. You have content that is ready-to-share, since each summary contains 6 – 10 smaller illustrations. People love the drawings and the handwritten text, commenting and sharing your content.

Your manager suggests that you frame the graphic recording and display it at reception. Every time you walk past you see someone looking  at it, or explaining it to a visitor.

Who is graphic recording for?

Graphic recording is for you if you are planning a conference, meeting, webinar or workshop AND:

  • You want people to actually remember what they hear
  • You care about participant engagement
  • You’re tired of sending out meeting notes that nobody reads
  • You want your event to make people feel connected to a collective vision

It is probably not right for you if:

  • You want detailed word-for-word documentation
  • You want slick, computer-y illustrations (my style is distinctly hand-drawn)
  • Your presentations are shorter than 10 minutes

Increased audience engagement

Using visuals coupled with text increases overall engagement by 62% compared to traditional methods (DataReportal, 2024)

65% better retention

Studies show that when people are presented with information as words, they remember only 10% of that information three days later. However, if a relevant image is paired with that same information, retention skyrockets to 65%. (Paivio, 1971; 1986)

Faster mental filing of information

Research into real-time brain activity shows that creative visual content triggers memory encoding 74% faster than text alone. (Canva, 2025)

"By the end, people weren't rushing out. They were gathered around Megan's work, reflecting, discussing and connecting in ways that don't typically happen after an event. Even sharing the images and video now re-engages and sparks continued reflection and conversation."

The following hours are based on a 60 minute online event. A full-day event would need more of everything! Contact me for more information.

Briefing meeting with you and your team (30-60 minutes)

This is your chance to tell me all about your event, your participants and what you want to achieve.

I have ten questions that I ask in every briefing call. However, the more information I get from you at this point, the better the end result will be.

Research and test sketch (3-4 hours)

I read up on your topic and your organisation. You can send me your Powerpoint slides in advance, but the one thing I really need is the agenda.

Some clients like to see a sketch of the layout and heading before the event. I am happy to do this for you.

Set up at venue 60 minutes prior to event (login 30 minutes before an online event)

I arrive 60 minutes before the event starts. This gives us time to say hello and check the tech set-up.

Graphic recording for the time specified

I will be there, listening, filtering and recording the most important parts of your event.

We can show the illustrations during the entire event, at strategic times only, or as a surprise at the end.

Delivery of image and time-lapse animation

You will get the illustration within eight working hours (often within one hour!).

I usually wait for you to approve the image before creating the animation. If you want it straight away, just let me know.

One round of post-event editing if required (1-2 hours)

You can relax, knowing that you can ask for changes and that the final illustration will be just the way you want it.

A license for unlimited use, world-wide.

I include a very generous license in my service. No strings attached!

What do I deliver?

Digital Graphic Recording

Digital illustrations are in your company colours. They are clean and easy to add to digital and print documents.

Analogue Graphic Recording

Analogue illustrations are done with acrylic pens that are close to your company colours. These strong, clear drawings are easy to photograph.

A lot of the charm of analogue graphic recording is that it is screen-free. Participants enjoy seeing a real human capture their discussions.

How much does graphic recording cost?

If you have never experienced graphic recording before, you might think it sounds a bit expensive.

But consider the other investments you’ve made in your event — speakers, venue, hotel rooms, flights, entertainment.

Graphic recording is what makes that investment last.

The visual summary a graphic recorder creates becomes a tool for extending the clarity, the key messages and the sense of togetherness that your event created.

It magnifies the return on investment you get from the event.

Frequently asked questions

What do we actually get?

DIGITAL

  • An illustration (in your company colours, of course) that sums up your key messages in a fun and engaging way
  • A time-lapse animation of the drawing being created (digital illustration only)
  • An unlimited license to use the illustration and the animation – world-wide, forever.

ANALOGUE

  • Illustrations on lightweight foamboard or artists quality paper.
  • An unlimited license to use the illustration – world-wide, forever.

Both.

Most of the time I illustrate digitally. A digital illustration is easy to edit and you get a fantastic time-lapse of the illustration as part of the package. People LOVE watching these, which makes them great for social media.

It also means that I can work internationally without expensive and environmentally harmful travel.

Analogue graphic recording, done on large sheets of paper or boards, has its own benefits. In this digital age, people are more intrigued by the sight of a human drawing on paper, and the imperfections add to its charms.

I live and work in Skåne (southern Sweden). I travel to nearby cities in Sweden and Denmark and occasionally make my way to London for the right events.

Thanks to the magic of the internet, I can illustrate your event without physically being there. This means that I can work remotely at events all over the world.

Most of the time, graphic recording is not used to replace a presentation. As fast as I am, I cannot draw everything your speaker says. My job is to pick out key concepts and visualise them so that the audience remembers them.

It is possible to use live illustration instead of a presentation, but it would require more preparation and rehearsal.

No. As a graphic recorder I pick out key pieces of content and illustrate them. It would be impossible to capture everything that is said.

Besides, the point of graphic recording is to help people remember content from the event: too much information would defeat the purpose.

So, to summarise, if you want every single detail written down, you will need to have someone taking written notes.

Yes, to some extent. Prior to your event we will talk through the topics that will be covered. This is your chance to let me know if there are some things that MUST be included, and if there are any topics that you would prefer not to emphasise. If you want a particular image included, just let me know.

Please get in touch so I can give you a quote for your specific event.

My base rate for a one hour event is 410 Euro / 4100 SEK plus taxes. Pricing for a full-day event starts at 2500 Euro / 25 000 SEK.

This includes our meetings and communication before the event, my research and preparation and one round of edits after the event.

You receive a beautiful finished illustration as:

  • a high resolution jpg
  • a low resolution jpg and
  • a MP4 time-lapse animation of the drawing being created (10, 30 or 60 seconds long).

Yes, you can request edits. One round of revisions is included in the price!

Bear in mind that the time-lapse cannot be edited except in chronological order. This means that the changes that you request will show up at the end of the time-lapse animation.

Honestly, this has never happened.

Good communication and preparation before the event can nearly guarantee a result you will be happy with.

The round of edits that is included in the price means that you have the opportunity to correct any small mistakes that have been made.

It is, of course, important that you like my style of illustration. If you read this far down the page, you have a pretty good idea of my visual style.

An unlimited license for internet use is included in the price of my graphic recording. This means that you can use it however you want for an unlimited amount of time.

  • Social media
  • Website
  • Annual report
  • Brochures
  • Printed, framed and displayed on the office wall
  • On cloth bags, mugs or other products
  • In the invitation for next year’s event

That’s good value!

Graphic recording can be done:
a) on location at in-person events
b) online at online events
c) hybrid – I can be online at an in-person event, with my screen shared as needed

The beauty of doing digital graphic recording is that I can do it without attending the event. (Better for the environment, in most cases!) We connect via a video conferencing app so I can hear and see the event. I share the screen of my drawing tablet and you show it on a screen at or after the event.

That said, I do travel for work.  Southern Sweden (Malmö, Lund, Kristianstad, Ystad and Hässleholm), Gothenburg, Stockholm and London are all locations I will travel to for in-person graphic recording.

At least a week. The more time I have to prepare, the better the end result will be!

You will get my final invoice within three days of the final illustration being delivered.

Occasionally I ask for a 10% non-refundable deposit when we agree to work together. As a small business owner it’s important for me to know that my clients are serious about booking and paying.

Within eight working hours of the event finishing!

In most cases I will send you the illustration within an hour.

After you approve it, or request edits, I will send you the final documents, including the animated time-lapse.

I am a native English speaker, and am fluent in Swedish.

I work in both languages.

That said, if you need an event illustrator for an event in English in Sweden, then you can’t go wrong here!

I am so glad you asked! If you are running a conference, you will want to communicate with your participants before and after the event.

I can draw engaging portraits and comic-style pictures for you to send out or use on social media.

If you want amazing presentations, I can illustrate those too! A hand-drawn infographic really gets people’s attention.

There are a lot of names for graphic recording!

  • Sketch-notes,
  • live scribing
  • live illustration (which also includes live portraits at events)
  • graphic scribing
  • visual note-taking

In Sweden, most professionals use the English term “graphic recording” although you will see:

  • mötesritare (meeting illustrator)
  • konferensritare
  • konferensillustratör (conference illustrator)
  • visuella anteckningar
  • visuella sammanfattningar

Want people to actually READ your conference notes?

Hand drawn illustration showing a person begging for meeting notes.

Clients tell me that the only time that people ask them for notes is when they are VISUAL NOTES.

Ready? This is how to get started.

Use the contact form below to send me a quick message.

Alternatively, email me at megan@vanderley.se or call +46 765612289.

This is just an inquiry – no obligation.

You can write in English or Swedish.

I will get back to you within 24 hours Monday – Friday to let you know if I am available for your event.

After that we can either meet up to brainstorm the best arrangement for your event, or I can provide you with a quote.

Either way, you have got the ball rolling!
